Voice Invoicing & the AI Agent

Voice invoicing is the hero feature of TradeInvoice Pro: you speak the job — “two days labour, a consumer unit at £450, for Mrs Thompson at 4 Elm Road” — and the AI agent builds the invoice with the client, line items and prices ready to send. Here's how to get the best out of it, and what to do when something doesn't sound right.

How does the voice agent actually work?

Open the voice agent and describe the job out loud, the way you'd tell a mate: who it's for, what you did, what it costs. The agent listens live and assembles the invoice as you speak — client, line items, quantities, prices.

It's not a dumb transcriber. It knows your trade, your saved price list, your existing clients and your drafts — so “the usual callout for Dave” resolves to the real client and your real callout rate.

When it's done you get a normal editable invoice. Nothing sends automatically: you review it, adjust anything you like, and send it yourself.

The microphone isn't working / the agent can't hear me

The voice agent needs microphone permission. If you declined it the first time, the app can't listen until you re-enable it in your phone settings: on iOS go to Settings → TradeInvoice Pro → Microphone; on Android go to Settings → Apps → TradeInvoice Pro → Permissions → Microphone.

Also check the obvious hardware culprits — Bluetooth headsets that grabbed the mic, a case covering the microphone, or another app using the mic at the same time.

The live agent also needs an internet connection while you're speaking. If you're in a dead spot, use the 3-tap express invoice flow instead and the invoice will sync when you're back in coverage.

Will it understand my accent?

Yes — the agent is built for real tradespeople across the UK, US, Australia, Canada, Ireland and New Zealand, and handles regional accents well. Speak naturally; you don't need to slow down or put on a phone voice.

If a specific word keeps getting missed — an unusual client surname, a product code — say it, then check it on the review screen before sending. Everything the agent builds is editable.

The agent got a price or name wrong

Nothing goes out without your say-so. The voice agent builds a draft — review it and tap any line to correct a price, rename a client, or remove an item before sending.

The agent learns from your saved data: keeping your price list and client book tidy makes it noticeably more accurate, because “the usual” maps onto real saved items rather than guesses.

Why can't I use voice invoicing on the free plan?

The AI voice agent is a Pro feature (£7.99/month or £49.99/year, or your local equivalent). Free accounts still get the fast path: a true 3-tap “invoice now” flow from the home screen, plus saved clients and line items so repeat invoices take seconds.

You can upgrade in the app under Settings → Subscription. Pro also unlocks unlimited invoices and automatic payment chasing.
