Invoices, Quotes & Deposits
Every document the app produces is a clean, professional PDF with your logo, country-correct tax lines and your own terms. This topic covers the document types — invoices, quotes and deposit chains — and the extras that go on them.
How do quotes and the approval link work?
Send a client a quote and they receive a hosted web approval link. They open it in any browser — no app to install, no account to create — and tap Approve.
The moment they approve, the quote converts into an invoice automatically, every line item intact. You get notified, and there's no retyping and no numbers drifting between the quote and the bill.
If the client declines, you're notified of that too, so nothing sits in limbo.
How does deposit invoicing work?
For bigger jobs you can run the whole chain in the app: a deposit request first, then the job in progress, then the final invoice — all linked together as one job.
The deposit shows as a visible deduction on the final invoice, so the client sees exactly what was paid and what remains. The paper trail stays clean from first payment to last.
How do I add my logo to invoices?
Go to Settings → Logo and upload your logo once. From then on it prints automatically on every invoice, quote and receipt PDF.
Logo branding is included on the free plan as well as Pro.
Can I put job photos on the invoice?
Yes — attach before/after job photos and they render onto the PDF itself, not just into your camera roll. For work that ends up hidden behind walls or under floors, the photos justify the bill before the client can even ask.
How do signatures work?
Both you and the client can sign directly on the phone screen — draw-on-screen signing. Signatures are rendered onto the PDF with the signer's name and the date, which is handy for sign-off on completed work.
Can I edit the terms & conditions on my invoices?
Yes. The app ships per-country terms & conditions templates with real statutory references — UK templates include the right late-payment and consumer wording, and other countries get theirs. Open Settings → Terms to edit the template to fit how you trade.
Whatever you set prints on every PDF automatically from then on.
How many invoices can I send on the free plan?
The free plan includes 3 invoices per month, forever — full PDFs, your logo, correct tax lines and sending from your own email included. Pro removes the cap entirely (unlimited invoices) and adds the voice agent and automatic payment chasing.
The counter resets monthly. If you've hit the cap mid-month and need to bill now, upgrading to Pro in Settings → Subscription unlocks it immediately.
